Visitor privacy notice

Kent Students’ Union uses this visitor system to manage access to its premises, support reception operations, account for people during an emergency, and maintain an appropriate security record.

Information collected

The record may include your name, organisation, host, purpose of visit, contact details, vehicle registration, visitor badge, arrival and departure times, emergency contact details, identification details, and operational notes where required.

Who can access it

Access is limited to authorised reception, operational, security, and system-administration staff according to their role.

Retention

The configured retention period is 365 days. Records may be retained longer where required for an active incident, legal requirement, investigation, or approved organisational purpose.

Security and enquiries

The system uses controlled user accounts, audit logging, encrypted web connections, and restricted configuration storage. Contact Kent Students’ Union through its normal data-protection or reception contact route for privacy questions or requests concerning your information.
